Policies & Acknowledgements
Please read each section carefully. You must acknowledge each policy before submitting this form.
I am required to provide a minimum of 2 hours’ notice should I wish to cancel a session booking for any service. If sufficient notice is provided, the session will be credited to my account.
If a session is cancelled within 2 hours of the session start time, it will be charged at the full rate and no credits or refunds will be provided.

Any cancellations made by the Service will be automatically credited to my account.

Refunds will only be issued if the account is in credit and not in arrears.

All Work + Nest / Crèche session passes are payable in advance at the time of purchase via the website or in person via EFTPOS only.
All casual (walk-in) or individually requested sessions must be paid in advance prior to the session being conducted.
A late collection fee applies if a child is collected after the session end time:
• $1 per minute for the first 10 minutes
• $5 per minute thereafter
Late fees are payable on the day of occurrence.
If nappies or wipes are provided by the Service, a fee of $2.50 per nappy change will apply and is payable upon collection of the child.

Unpaid services two weeks after the due date may result in termination of services.
If unpaid fees remain outstanding, debt recovery processes may commence. If recovery is unsuccessful, the matter may be referred to a third-party debt collection service, and the Service is not responsible for any additional fees incurred.

The Service may refuse or terminate services if:
• Outstanding fees remain unpaid after two weeks
• Harm or threats of harm occur toward children, parents/guardians, staff, volunteers, students, or visitors
• Inappropriate behaviour occurs
• Work Health & Safety (WHS) standards are breached
• Family conduct standards are breached

First Aid & Medical Emergencies
At least one staff member on the premises at all times holds current first aid qualifications, including CPR, asthma, and anaphylaxis training.
The Service maintains a bronchodilator (puffer) and epinephrine autoinjector (EpiPen), which may be administered by trained staff if deemed necessary. Emergency services will also be contacted.
Emergency services may transport my child for medical treatment due to illness, accident, or trauma, and I/we agree to pay any associated costs including medical treatment and transport.
I agree to remain contactable at all times while my child is attending the Service. If contacted due to illness, I agree to collect my child within 30 minutes.

Any medication required for a child’s medical condition must be provided prior to services commencing.
Medication will not be accepted if it is:
• Out of date
• Not in original packaging
• Labelled with another person’s name
Emergency medication must be accompanied by a medical management plan from a registered medical professional.
Non-emergency medications (e.g. antibiotics or paracetamol) must be administered by the parent/guardian and discussed with the Service in advance.

All relevant medical information must be disclosed prior to commencement of services.
It is the responsibility of the parent/guardian to provide updates regarding changes to medical conditions, management plans, or medication.
If appropriate care cannot be provided due to a medical condition, the Service may cancel the session and apply a credit to the account.

Children must not attend sessions if they present with signs of illness.
If a child displays signs of illness during a session, parents/guardians must collect the child within 30 minutes of being contacted.
If a child under 3 months presents with a fever of 38°C and parents/guardians or emergency contacts cannot be reached, an ambulance will be called.

Supervision & Collection of Children
Children will only be released to authorised persons listed on this form.
Any person collecting a child must present valid photo identification. Children will not be released without identity verification, regardless of who dropped them off.
Emergency contacts will only be used if parents/guardians cannot be contacted.
Any changes to authorised collectors must be provided in writing via email to
info@thelearningnestco.com and are only valid for the specified duration.

Court Orders & Custodial Arrangements
It is the responsibility of the parent/guardian to provide any current family court orders, custodial arrangements, or parenting plans in writing via email to
info@thelearningnestco.com.
Any amendments must also be provided in writing.

Children have access to a bathroom at all times.
Parents may request to enter the Service during Crèche sessions to assist with toileting or nappy changes.
Staff will support children with toileting and nappy changes when required.
Parents must provide spare clothing, nappies, pull-ups, and wipes. If these are provided by the Service, a fee of $2.50 will apply.

This is an allergy-aware service.
Any food provided must be clearly labelled if it contains allergens including dairy, eggs, fish, crustaceans, tree nuts, peanuts, wheat, or soy.

UV levels are monitored regularly. When UV levels exceed 3, sun protection measures are implemented.
Parents must provide a wide-brimmed hat for Crèche services.
Sunscreen will be applied unless sensitivities are noted, in which case parents must provide suitable sunscreen.

The Service offers messy play experiences as part of learning programs.
Clothing may become dirty, wet, or stained during these experiences.
Children must bring multiple changes of clothing for messy play and Crèche sessions.

A range of learning resources are used during sessions.
Fragile materials such as glass and ceramics may be used under direct supervision.

Parents/guardians are solely responsible for all personal belongings brought into the Service.
The Service is not responsible for loss, damage, or theft of personal items.

Parents/guardians accept financial responsibility for any damage caused to the Service by their child or accompanying adults.

Photography & Videography
Photography and videography are permitted only of your own child during sessions you are present for.
Photography and videography are prohibited in bathroom, toilet, and feeding areas.
The Service may capture non-identifiable images for marketing purposes during separate organised sessions with consent.

Staff, Students & Volunteers
All staff hold current Working With Vulnerable People (WWVP) checks.
Any students or volunteers present will be displayed on signage in the foyer.
External providers are responsible for ensuring their staff comply with required checks.

Breaches of these guidelines may result in immediate termination of services without refund.

Evacuation directives may be issued by South.Point Shopping Centre in the event of an emergency.
Staff will escort children to the designated assembly area.
Parents may collect children from the assembly area after speaking with staff.

Lockdown procedures may be enacted in an emergency, including lock-in, lock-out, or full lockdown.

Leaving The Premises (Critical Safety Requirement)
I am required to notify a staff member when I am leaving The Learning Nest Co premises.
This applies at all times, including temporary departures and at the end of a session, and is required for safety, supervision, and emergency management.

Co-working Space and Private Office Space
Wi-Fi is a complimentary service provided on a best-effort basis without guarantee of performance, availability, or security.
The internet must not be used for unlawful, harmful, or disruptive activities.
This is a shared workspace and noise must be kept to a minimum. Phone calls must be taken in The Retreat.
Any belongings left in the workspace are the responsibility of the user.
I am required to notify a staff member when leaving the premises.
