Front Office and Executive Support

We are looking for a proactive, highly organised, and detail-oriented Front Office and Executive Support to support our leadership team while ensuring the smooth day-to-day operation of our office. This role is ideal for someone who enjoys a mix of executive support, office coordination, and administrative tasks in a dynamic and fast-paced environment.

Overview of Key Responsibilities: Executive Support • Assist leadership with calendar management, meeting coordination, and any other requirements as needed.

• Prepare meeting agendas, reports, and presentation materials.
• Support executives with ad hoc administrative tasks.
• Maintain confidentiality and handle sensitive information (where applicable) with professionalism.
Office Management and Administration • Oversee day-to-day office operations, ensuring a well-organised and efficient workspace.
Manage office supplies, groceries, and stationery orders to keep everything stocked (Cape Town and Paarl Offices).
Liaise with vendors, cleaners, and service providers to maintain office functionality.
Assist with office security, visitor access, and front-desk coordination.
Track and process office-related expenses and invoices with the help of the Finance Team.
Meeting & Event Coordination Schedule and coordinate internal and external meetings (where needed).
Set up meeting rooms, manage presentation tools, and ensure all logistics are in place.
Help organise team events, workshops, and office gatherings.
IT & Equipment Support Ensure office equipment such as printers, coffee machines, and meeting room technology are properly maintained.
Act as a point of contact for IT troubleshooting and escalate issues when needed.

Experience with calendar management, travel bookings, and meeting coordination is a plus.
Strong organisational skills and the ability to work independently.
