Key Responsibilities
Administrative & Financial Management: process payments and receivables, issue invoices, pro-forma invoices, purchase orders and manage stock records; prepare inventory and documentation for the accounting services; register new bids and sales leads; help keep the organization's legal and building compliance up to date; liaise operationally with occupational health & safety (OHSAS/SST) providers and waste management operators; manage the building's daily maintenance.
Purchasing & Subcontracting: request quotations from suppliers, subcontractors and service providers, ensuring they receive all relevant requirements; place and follow up orders, managing delivery times; purchase consumables and negotiate cost and payment terms; manage office supplies; support infrastructure works and new equipment installations; assist the team with travel arrangements and related documentation.
Planning & Coordination: coordinate with the Operations Engineer, Project Manager and Operations Director on shipment dates, pick-ups and deliveries; keep departments informed of changes in delivery schedules; support the Operations Director with production registration documents.
Quality Management System: comply with the Quality Management System and support the Quality Assurance Engineer with databases, documentation control and the handling of non-conformities; support the Project Manager in preparing project documentation; participate in the analysis of work accidents; keep Management informed of new information from interested parties.
Requirements
Secondary or vocational education in a relevant field, or a minimum of 5 years of experience in a similar role. Strong spreadsheet skills and familiarity with management/ERP software. English required; Portugues as a mother tongue. Reliability, organization and ethical conduct are essential, as the role involves handling financial and confidential information. On-the-job training will be provided by Hypermetal according to our internal skill matrix.
