Job Description

Position Overview

This role is ideal for a highly organized and proactive individual who enjoys balancing administrative and operational responsibilities. You will work closely with leadership to coordinate travel and events in Medellín, support hiring efforts, and assist with executive tasks such as scheduling, communication, and project management.

Key Responsibilities

Recruiting Coordination (50%)

- Assist HR in recruitment efforts by scheduling first-round interviews and setting up second-round interviews.
- If necessary, conduct initial screening interviews to evaluate candidate fit.
- Maintain recruitment tracking documents and communication with candidates throughout the hiring process.
- Ensure a smooth hiring experience by coordinating interview logistics and assisting with the onboarding process of new hires.
Executive Assistant & Project Management Support (35%)
- Manage executive calendars, meetings, and travel arrangements (flights, accommodations, transportation).
- Handle organizational tasks for the leadership team, ensuring timely email responses and follow-ups, assisting with organizational tasks, document management, and internal communications.
- Coordinate external vendors, such as tax advisors, legal advisors, and other service providers, ensuring that necessary processes are moving forward efficiently.
- Act as a project manager for leadership, ensuring that reports, updates, and key initiatives remain on track and that meeting next steps and action items are completed.
Event & On-the-Ground Coordination (15%)
- Plan and manage logistics for quarterly leadership visits to Medellín, including team dinners, meetings, detailed itineraries, and events.
- Coordinate local vendors, venue bookings, and catering for company events.
- Support on-the-ground operations for leadership, ensuring seamless execution of planned activities.
- Coordinate client visits to Medellín or other future company hubs.

Qualifications

- Experience managing meetings, coordinating multi-timezone calendars, and working with cross-functional teams and vendors.

- Skilled in planning international travel and creating detailed itineraries.

- Strong background in hiring and recruitment, with the ability to assess candidates and make well-informed hiring decisions.

- Excellent organizational, time-management, and multitasking skills.

- Strong communication skills in both English and Spanish, with proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides).

- Detail-oriented, able to work independently, and available for in-person events in Medellín.

Bonus Skills

- Prior experience conducting interviews or supporting a hiring team.
- Event coordination experience, particularly in Medellín.
- Experience with Microsoft Excel, Google Sheets, applicant tracking systems (ATS), or HR software.
