2026 Vendor Rule Agreement

LCFMC 2026 Rules

2026 Lampasas County Farmers Market and Crafts, L.L.C. (LCFMC) Welcome Letter and Rules.

Thanks for your interest in becoming a new or returning vendor. The market is open every Saturday from 9AM-1PM on Lampasas Courthouse Square unless we are superseded by a community event or severe weather. We are known as the friendliest market in the area and expect vendor/customer relations to remain cordial and helpful to keep us that way. You are not committed to every Saturday. You may set up as often as you like. You must be set up by 8:30AM and must stay until 1PM. Please see an Admin before setting up your first time so we can know who you are and welcome you. There are plenty of folks to help you if you need it. You simply need to ask! We hope you will choose our market as your market home!

Requirements

1. All products must be HANDMADE, HOMEMADE, and/or HOME/REGIONALLY GROWN.
2. Upcycling or repurposing is considered handmade.
3. No 3rd party sales such as Avon, Mary Kay, Scentsy, etc. are allowed.

Rules


General Rules

Hours

A. Market hours are 9am-1pm. No driving within market boundaries is permitted 15 minutes before the market opens and until 15 minutes after the closing of the market.
1. If you cannot functionally be at the market the entire time with exceptions of personal/family emergencies, you will not be allowed to set up.
2. If you arbitrarily decide to leave early despite posted hours, you will be suspended from the market for 30 days.
3. Booking two different markets on the same day does not constitute an emergency. You may have a friend/family member sit in your place to begin or complete the market hours.
B. Vendors may not break down before the end of the market even in the event the vendor has sold out. Tables, signage, tablecloth etc. must remain set up in booth space until the end of the market. Some items may be packed up and ready to load prior to the end of the market if there is large inventory to pack.
C. Special Event Hours
1. A few times during the year (mostly Holidays), the market works in conjunction with the city. During those events we come under their umbrella and are subject to their rules and time-lines.
2. If their event times are longer than the market hours, we are obligated to those adjusted hours.
(i). Any vendor who cannot be present the entire time of the event cannot participate.
(ii). Any vendor who participates and leaves early will be suspended from the market for 60 days with no exceptions short of a medical emergency requiring an ambulance.

Allowed Space

A. The vendor space is 10x10 (actually about 13x13). If you need a larger space, please let the Market admin know in advance. All canopies must be weighted at least 35 LBS pounds per leg. Keep in mind, 4 ft. extensions will constitute an additional 10 ft space.
B. Annually, during Carol of the Lights (December event), 10x20 spaces will not be allowed due to space constraints for that event.

Generators and Electricity

A. Generators that are loud or impede the commerce of other vendors with excessive noise are not permitted. Steps must be taken to muffle the sound.
B. Electricity is very limited. Portable power boxes are strongly encouraged as electrical outlets may not always be an option. Extension cords cannot cross common walkways.

Behavior

A. Disruptive behavior, discrimination, audible foul language, and harassment towards customers, other vendors, or admin will not be tolerated and will result in suspension or expulsion from the market.
B. No disruptive or aggressive marketing is permitted in the market. That includes but is not limited to “hawking” and/or “poaching” of customers from other booths of any kind. Vendors may not tell another vendor what they can or cannot sell.
C. Vendors commit to not publicly disparaging The Lampasas County Farmers Market and Crafts.

Sign-ups who are no show/no call

A. Once assignments are posted any vendor who simply does not show without notification via post, email, phone call will be considered a no show/no call.
(i). We get life happens, emergencies happen, and the unexpected happens.
(ii). Even if you cannot notify us before the market, you are responsible for notifying us as soon as possible.
B. Three no show/no call events from the same vendor will result in a 1-month suspension.

Parking

A. Parking in the courthouse parking lot is reserved for customers!
B. All vendors’ vehicles must be out of the parking lot by 8:30 am. There will be very few exceptions to this rule. If the inside vendors can live without their vehicles for 5 hours, the outside vendors can live without their vehicles as well.
C. Parking in front of businesses on the square is strictly prohibited. If you park in front of any business on the square, you may be subject to a tow and a fine, so just don’t.
D. Vendor parking is available behind buildings on Pecan St.& 4th Street, across from the UPS store, behind Eve’s, and behind the bank.

Required and suggested Permits, Certifications, Licenses, and other documents

A. Cottage Food Vendors
1. Current Food Handlers Permit
2. Tax ID (not all foods are created equal in the tax brackets.)
(a) How to apply for a Texas Tax ID: https://comptroller.texas.gov/taxes/permit/
(b) This will need to be displayed in your tent. It is free to get online and needs to be displayed.
(c) You also need to have a sign displayed that says “Texas state and local sales and use tax is included in the sales price.”
4. The cities within Lampasas County, such as Lampasas, Kempner, and Lometa, have a total combined sales tax rate of 8.25% (6.25% state + 0.5% county + 1.5% city)
(a)Examples of taxable foods:
Breath mints. Candy. Carbonated beverages. Drinks (soft drinks – canned, bottled, frozen or powdered, including all “-ades” and punches). Eating utensils. (If your baked apple is sold (non-taxable) and you hand the customer a fork or spoon, you just made that apple taxable. Gum. Nuts (candy-coated). Pet food. Popsicles or any item that is sold with a stick in it (Fork Rule). Popcorn (when candy-coated or sold hot in the store). Sandwiches (that are not frozen). Snack items (individual-sized). Soft drinks (carbonated and non-carbonated). Water (when flavored).

A. All vendors will be required to keep up with communications from the market. “I didn’t know” or “No one told me” are not acceptable excuses.
B. If you have a Facebook account you must join the Facebook Vendor Page and the Facebook Vendor Chat

C. If you do not use Facebook, You still have two options to keep informed.
(ii) More than just a place to sign up. Events, rules, updates, and news can all be found on the website.
(iii) Keep the website link earmarked in you library for quick and easy access and make visiting a frequent habit.

Sign Up for a space for scheduled Market Day

A. Once you are a registered vendor you will need to request a space each Saturday you intend to participate.
B. This is open every Monday morning for the new week and CLOSES 10 AM on FRIDAY. There will be a post in Vendor chat and Vendor Facebook Page notifying you that the sign up is open, but you do not have to wait for the email.
C. Go to https://www.lampasasfarmersmarket.com. Scroll down to Space Assignments. Fill out the form and submit.
D. All vendors who signed up for given week will be notified via the website, Facebook, and chat each Friday afternoon with the map for assigned spaces.

Apply for a Reserved Space

A. All vendors have an opportunity to have a reserved space.
Reserved spaces will be granted in order with how often you participate in markets.
B. You can request a specific space, but that space will not be guaranteed. It is best to suggest your top 3 space preferences.
C. Do NOT pay for an assigned space until you have been offered and have accepted a space.
D. You will be placed on the Assigned Space Map once the space is paid for.
E. Vendors who require 2 spaces have a couple of options:
1. Accept a double space that is side by side as offered at $50 per space equaling $100.
2. Ask for a “shotgun” double space placing your tent(s) one in front of the other in the same single space paying $50 for the single space.
F. Requests for reserved spaces will be part of the Agreement form.

Fees

Becoming a member of the market family

A. You will be required to complete a new Application Form.
This form will be far more detailed than previously.
B. Once received, reviewed, and approved you will be given a registration number. This number will be your connection to assignments and other important connections during the year.

Annual Fees

A. $75.00 Vendor fee – One-time fee that will not reduce with time lapsed.
(i) This fee comes out to $1.56 per week for 48 weeks.
B. Reserved Space fees - $50 per 10x10 space.
(i) Reserved Space Fees must be paid before the space(s) is/are reserved in your name.
(ii) Vendors who do not have paid reserved spaces may not request special locations except for a parent with a Kidpreneur or a couple and then only to request side by side. If you must be in a specific location, you need to buy that space.

B. Electricity Fees: all vendors who utilize electricity from electrical towers in the parking lot will pay $5.00 each time used. The money will be collected and kept in a fund that cannot be used for anything other than an electrical fee from the city. The fees will be collected on site.

Payment Options

A. Pay total amount due in full
1. Must be paid on or before you can participate in a Market Day.
2. Can be paid online prior to a market day
3. Can be paid by either cash or credit card on-site before market opens.
(i) If paid in cash, DO NOT WALK AWAY WITHOUT YOUR RECEIPT!
(ii) Pay in full in 2 payments
(iii) Must make a payment of $37.50 on or before first set up
(iii) Must make second payment of $37.50 on or before next set up
(iv) Can be paid by either cash or credit card on-site before market opens.
4. If paid in cash, DO NOT WALK AWAY WITHOUT YOUR RECEIPT!
B. One-Time Vendors
1. If you only plan a single set up during the year the fee will be $37.50.
2. If you decide you want to attend 1 or more markets as a vendor, you will pay an additional $37.50 and be considered an annual member.
3. Special payment options may be available and must be discussed with the Coordinator

C. Exceptions to Payments
1. If you are a 501(c) there is no fee
2. If you are 17 (up to 18th birthday) or younger, you are classified as a Kidpreneur and there is no fee.
3. If you are with any school or church doing a fund raiser or information booth there is no fee

Raffles

A. To legally hold a raffle in Texas, your nonprofit must fit into one of these categories:
1. A 501(c) tax-exempt nonprofit that’s been operating for at least 3 years.
2. A religious organization (like a church) that’s been active in Texas for at least 10 years.
3. A volunteer, non-paid emergency medical service (members can only receive nominal compensation).
4. A volunteer fire department, running firefighting equipment and services, with members who receive only nominal compensation.
5. A charitable foundation tied to a professional sports team.
B. If your organization falls into one of these categories, you’re eligible to host a raffle!
C. Proof of your organization’s CREA permit must be presented before you can conduct a raffle on market grounds.

Agreement:

Will be included with packet and must be approved and on file to be a part of this market.
