This form is to collect details for the upcoming two-day Road Trip to Lake Como, Milan, Padua and Venice from September 17 to September 19 organized by the Orthodox Christian Youth Movement (OCYM) – Germany, a spiritual wing of the St. Thomas Indian Orthodox Church, Germany e. V., a registered non-profit association (Vereinsregister Essen – VR 6484). The itinerary for the trip is as follows: Sept 17, Thursday: Pick up from Germany Frankfurt Hbf (10:00 PM)→ Karlsruhe Hbf (Sept 17 - 11:30 PM)

Sept 18, Friday : Explore Lake Como, Milan and an overnight stay at a hotel in Altavilla, Venice

Sept 19, Saturday : Visit the Tomb of St. Antony's of Padua, Explore Venice, Party in Venice and return at night via Karlsruhe (Sept 20, Sunday - 8:30 AM) → Frankfurt (10:00 AM)

The participation fee of €275 per seat is collected solely to cover the actual expenses of the trip (bus travel, accommodation, 2 days breakfasts, local travel tickets, party in Venice and administration fees) and no profit is intended or made. Any remaining balance will be used for OCYM or other spiritual activities of the church, in alignment with our bylaws (§ 3 and § 5 of the Satzung).

Advance Payment (100 € - per seat) must be completed NOW or before 10 August 2026.

Data Processing Consent:

I hereby give consent to St. Thomas Indian Orthodox Church, Germany e. V.(organization) to process and store the information given in this form only for the purpose mentioned above for as long as necessary to fulfil the purposes for which it was collected. I acknowledge that the data submitted will be shared with the organizers and coordinators of the event for logistical purposes.

Data Transfer Consent:

I understand that my personal data, provided as part of this registration, may be accessed or used in different countries relevant to this trip, including Switzerland and Italy. I consent to the secure transfer and processing of my data across these jurisdictions solely for organizing this trip.

Travel Documentation Consent:

I understand that the organization is collecting travel documentation details (e.g., passport, residence permit or visa) for transportation, accommodation, or border entry arrangements. This information will be securely handled and only accessed by authorized OCYM organizers as needed for the trip. I consent to provide necessary travel documentation upon request and understand it will be used only for essential trip-related purposes.

Insurance and Liability Waiver Consent:

I understand that the organization does not provide travel or health insurance coverage as part of this trip. I confirm that I am responsible for securing my own insurance coverage as needed (e.g., travel, medical, accident). I agree to release the organization from any liability associated with accidents, injuries, or losses that may occur during the trip. I also agree that the organization is not responsible for any personal items lost or stolen during the trip.

Photo/ Video Consent:

I agree that pictures/videos of me and/or my companions during the entire duration of the trip, can be taken and may be used for informational purposes related to the church, including but not limited to the church's website and social media platforms. If I/they do not want to appear in the photos/videos, I/they can either go out of focus (e.g.: in group photos) or withdraw my/their consent at any time by contacting the Church. I also acknowledge that photos taken by other participants may be shared on their personal social media, and the organization is not responsible for their use.

Behavioral Guideline:

I understand and agree that pets, smoking, drug use and possession of illegal substances are strictly prohibited during the trip to ensure a positive group experience.

WhatsApp Group Consent:

I agree to be added to a temporary WhatsApp group created exclusively for participants of REISE. This group will be used solely for essential trip communication, including updates, logistics, and important notifications from organizers. I agree to maintain respectful and appropriate communication within the group. Any form of unsolicited messaging or inappropriate behavior may result in removal from the group by organizers.

Voluntary payment of Trip Expense:

I acknowledge that the payment of the trip expense is made voluntarily. I understand that the amount is required to cover the costs associated with organizing the trip and that my participation is contingent upon the payment of this fee. I confirm that I am not under any coercion or obligation to pay the fees, and I am doing so of my own free will.

By registering, I acknowledge and agree that my contribution will be handled under the financial guidelines of the Verein and in consultation with the Treasurer.

Cancellation and Refund Policy:

I understand that the full payment must be completed by 28 August, 2026.

If the payment is not received in full by the deadline, I acknowledge that my registration will be automatically canceled. I further understand that no additional reminders will be sent regarding this payment deadline.

If the cancellation is done on the following dates: - Before August 24, 2026: Full refund minus any non-recoverable costs already incurred by the organizers (e.g., hotel or transport deposits).

- Between August 24 and September 2, 2026: Cancellations will be refunded 30% of the paid amount, subject to recoverable costs.

- After September 2, 2026: No refunds will be provided due to confirmed arrangements with travel and accommodation providers.

If a participant(s) wishes to cancel their registration, they must notify us in writing via email to ocym@iocgermany.church.

In case of event cancellation or postponement due to circumstances beyond our control—such as natural disasters, acts of terrorism, lack of participants or other emergencies (force majeure)— appropriate refunds will be provided in accordance with our refund policy. However, we will not be responsible for any other personal costs or expenses incurred. Refunds will be processed within 30 days.
