The clubhouse may be rented only by homeowners of the Old Orchard Community Association who are current on all assessments. The resident must be at least twenty-one (21) years of age, sign this agreement, and remain present for the entire event. Reservations are accepted on a first-come, first-served basis and are confirmed once payment and this signed agreement are received.
The clubhouse is available for rental daily from 8:00 AM to 12:00 Midnight. All setup, event activities, and cleanup must be completed within the reserved time.
There is no refundable security deposit required for clubhouse rental.
Payment must be made by one (1) check payable to: O.O. Community Association, Inc.
Cancellations made on or before 3:00 PM the day prior to the event will receive a full refund. Cancellations made after that time will result in a $100 late cancellation fee.
5. Cleaning Responsibilities and Condition of Premises
Residents are fully responsible for leaving the clubhouse in good, clean condition. This includes:
• Wiping down all tables and chairs
• Returning all furniture to original storage locations
• Bagging and removing all trash off-site (Trash may NOT be left inside, outside, or in HOA bins)
• Sweeping AND mopping floors
• Cleaning kitchen counters and sinks
• Leaving bathrooms reasonably clean
• Removing all decorations
If the clubhouse is not left in satisfactory condition, or if excessive cleaning is required, the HOA reserves the right to arrange professional cleaning services. A minimum cleaning charge of $100.00 or more, depending on the condition, may be assessed.
A fifteen (15) minute grace period is allowed after the scheduled end time. Events exceeding the grace period may be charged $50.00 per thirty (30) minutes.
Maximum occupancy is eighty (80) guests. Music and noise must be kept at reasonable levels at all times. Repeated noise complaints may result in early termination of the event.
Pool use is NOT included with clubhouse rental. Entering the pool area during a clubhouse event is strictly prohibited. Parking is limited to designated clubhouse parking areas, and the resident is responsible for informing all guests.
Smoking, vaping, and hookah use are strictly prohibited inside the clubhouse.
10. Decorations and Equipment
Decorations and equipment must not damage walls, ceilings, floors, furniture, or fixtures. No nails, tacks, tape, glitter, adhesives, or damaging materials are permitted on any surface. Any damage caused will be repaired by the HOA, and all associated costs will be charged to the resident.
11. Liability and Indemnification
The resident assumes full responsibility for their guests and any injuries, damages, or losses related to the event. The Association, its Board of Directors, officers, and management company are not responsible for personal injury, death, or property loss arising from the use of the clubhouse.
12. Financial Responsibility and Enforcement
By signing this agreement, the resident acknowledges full financial responsibility for the condition of the clubhouse during and after the event. If cleaning, repairs, damage, overtime, rule violations, or any other costs are incurred as a result of the event, the HOA reserves the right to assess all associated charges directly to the resident’s HOA account. Failure to pay assessed charges may result in standard HOA collection procedures as permitted by governing documents and applicable law.
