About the Role

We are looking for an organised, hands-on and detail-oriented Event Operations Associate to support the planning and execution of Eventhive's conferences, exhibitions, forums and networking events.

This role is suited to someone who enjoys turning plans into reality. You will work across event planning, venue coordination, vendors, speakers, exhibitors, attendees, logistics and on-site execution, ensuring that every operational detail is handled before, during and after an event.

The ideal candidate is highly organised, calm under pressure, proactive and comfortable working in a fast-paced environment where priorities can change quickly. 

Key Responsibilities

Event Planning & Execution

- Support the end-to-end planning and delivery of Eventhive events.

- Maintain event checklists, timelines, production schedules and operational trackers.

- Coordinate logistics across venues, vendors, suppliers, contractors and internal teams.

- Support venue sourcing, inspections, floor plans, seating arrangements, registration areas and exhibition layouts.

- Coordinate event materials, branding assets, signage, badges, merchandise and other physical requirements.

- Support the planning and execution of conferences, exhibitions, networking sessions, roundtables and other event formats.

Speaker, Sponsor & Exhibitor Coordination

- Serve as an operational point of contact for speakers, sponsors, exhibitors and partners.

- Coordinate speaker arrival information, presentation materials, session requirements and event-day logistics.

- Support sponsor and exhibitor setup and ensure contracted deliverables are properly executed.

- Work closely with the sponsorship and content teams to ensure partner requirements are incorporated into event plans.

On-site Operations

- Support registration and attendee management.

- Coordinate vendors and contractors during event setup and breakdown.

- Monitor event spaces, schedules, signage, branding and technical requirements.

- Troubleshoot operational issues quickly and escalate major issues when necessary.

- Help ensure sessions start and end on schedule.

- Support VIP and executive guest management where required.

Post-event

- Support event breakdown and reconciliation of materials and equipment.

- Collect operational feedback from attendees, partners, speakers and internal teams.

- Document lessons learned and recommend improvements for future events.

- Maintain accurate event records, vendor information and operational documentation.

Requirements

- 2–4 years of experience in event management, event operations, hospitality, project coordination or a related field.

- Strong organisational and project-management skills.

Excellent attention to detail.

- Strong communication and interpersonal skills.

- Ability to coordinate multiple stakeholders and deadlines simultaneously.

- Comfortable working under pressure and responding quickly to unexpected issues.

- Proficiency with Google Workspace or Microsoft Office.

- Technical understanding of measurements, geometry, fabrication, and production processes.

- Ability to manage, organize, analyze, and present project data accurately for effective planning, tracking, and reporting.

- Willingness to work outside standard hours when event schedules require it, including occasional evenings, weekends or travel.
