Booking Conditions

Registration & confirmation. Registrations are received and reviewed by the organiser. A place is confirmed only once full payment has been received; a confirmation email will then be issued. The organiser may decline or limit registrations at its discretion.
1st European Conference on Human Factors & Aviation Safety · Madrid, 29–30 September 2027 · hfasc.org

2. Fees & payment. All fees are in euros and are inclusive of 21% VAT. The fee you pay is the rate in effect on the date we receive your full payment. Early-bird rates apply only if payment arrives before the early-bird deadline. Your place is confirmed only once we have received full payment. Payment is due immediately. If payment isn't received, we may cancel your registration and release your place. When paying by bank transfer, please send us a copy of the transfer receipt as proof of payment to info@hfasc.org. Any bank charges are your responsibility.

3. Cancellations & refunds. Cancellations must be made in writing to info@hfasc.org. More than 90 days before the event: full refund less a €35 administration fee. Between 30 and 90 days: 50% refund. Fewer than 30 days: no refund, but a named substitute may attend in your place (see clause 4).

4. Substitutions. A registered delegate may be replaced by a colleague at no charge at any time up to 15 working days before the event, by written notice giving the substitute’s details.

5. Programme changes. The programme, speakers, format and timings are correct at the time of publication but may change. The organiser reserves the right to alter or substitute any part of the programme, or the venue within Madrid, without liability; such changes are not grounds for a refund.

6. Force majeure. If the event is prevented, postponed or curtailed by circumstances beyond the organiser’s reasonable control (including epidemic or pandemic, government action, travel disruption, industrial action, natural events or a venue becoming unavailable), the organiser will where reasonable transfer registrations to a rearranged date or format. The organiser is not liable for delegates’ travel, accommodation or other costs.

7. Liability & insurance. The organiser accepts no liability for loss, damage or injury to delegates or their property save where caused by its negligence and to the extent required by law. Delegates are responsible for their own travel and personal insurance.

8. Data protection. Delegate data is processed to administer registration and deliver the conference, in line with the privacy notice at hfasc.org and applicable data-protection law. Contact details are shared with sponsors only where the delegate has expressly opted in.

9. Photography & recording. The conference is photographed and recorded for programme and promotional use. By attending you consent to appearing in general audience imagery.

10. Code of conduct. The conference is a professional, inclusive environment. The organiser may remove, without refund, any attendee whose conduct is unlawful, unsafe or disruptive to other delegates.

11. Travel & accommodation. Delegates arrange their own travel and accommodation. A letter of invitation to support a visa application is available on request to confirmed, paid delegates; it does not guarantee a visa will be granted.

12. Governing law. These conditions are governed by Spanish law, and the courts of Madrid have exclusive jurisdiction over any dispute.

6. Declaration
