EVOKE '25 Registration

This form is to collect details for the upcoming three-day Youth & Family Conference to be held in Frankfurt from September 19-21. (Venue: Jugendherberge Oberreifenberg, Limesstr. 14, 61389 Schmitten-Oberreifenberg).

Note: If you are coming as a family, please enter all details of attending family members. Otherwise please register individually.

There are 5 categories of participants (price inclusive of accommodation and food expenses for the entire duration of the conference) : Working Adult (18 years and above): 159€ per person Non-Working Adult (18 years and above): 129€ per person Student (includes University students and children from 15 to 17 years): 119€ per person Children (6 to 14 years): 49€ per person Children (5 years and Below): Free

Data Processing Consent:

I hereby give consent to St. Thomas Indian Orthodox Church Germany to process and store the information given in this form only for the purpose mentioned above for as long as necessary to fulfil the purposes for which it was collected. I acknowledge that the data submitted will be shared with the coordinators of the event for logistical purposes.

Photo/ Video Consent:

I agree that pictures/videos of me and/or my companions at the Conference, can be taken and may be used for informational purposes related to the church, including but not limited to the church's website and social media platforms. If I/they do not want to appear in the photos/videos, I/they can either go out of focus (e.g.: in group photos) or withdraw my/their consent at any time by contacting the Parish.

Voluntary payment of Registration fees:

I acknowledge that the payment of the registration fees for attending the conference is made voluntarily. I understand that the registration fee is required to cover the costs associated with organizing the event and that my participation is contingent upon the payment of these fees. I confirm that I am not under any coercion or obligation to pay the fees, and I am doing so of my own free will.

Cancellation and Refund Policy:

If a participant(s) wishes to cancel their registration, they must notify us in writing via email to iocde@iocgermany.church. Cancellations received on or before 30 June 2025, will be eligible for a 90% refund of the registration fee. Any requests received after this date will not receive any refunds. In case of event cancellation or postponement due to circumstances beyond our control, such as natural disasters, acts of terrorism, or other emergencies (force majeure), we will refund a percentage of the paid amount. However, we will not be responsible for any other costs or expenses incurred, such as travel expenses. Refunds will be processed within 30 days.

Room Allocation and Accommodation Notice:

Due to the nature of the accommodation provided (dormitory-style rooms), it may not be possible to allocate the same room for all members of a family or group. While we will make reasonable efforts to consider requests, room assignments will be based on logistical feasibility and the overall accommodation plan.

By registering for the conference, I acknowledge that family members or companions may be assigned to different rooms during the event and rooming preferences cannot be guaranteed and will not be grounds for complaints, request for changes, or refunds during the conference. I understand this arrangement is necessary to ensure a smooth and fair allocation process for all participants.
