What time should we arrive on the day?
Participants should arrive at the club at 8.00am and will be directed where to go by the parking attendants.
Skippers are also required to be at the club by 8.00am for the 8.15am briefing. We cannot delay the briefing. Crew should arrive when directed by their skipper but definitely by 9.30am as vessels will begin to leave by 10.00am. Volunteers will be advised what time they should arrive and where they should go, prior to the day.
Where can I park for the event?
There is enough free parking on site for all families and volunteers and members. When you arrive at South of Perth Yacht Club there will be carparking attendants at both the entrance to the car park and to the yacht club to direct you to an appropriate car parking space. The entrance to the allocated parking is through a small carpark at
66 Duncraig Road Applecross, so please set your cars navigation system to this address and it will direct you to the Heathcote Lower Field parking where there is ample parking.
The parking attendant there will also be able to direct you to drop-off areas within the club if necessary. There is a paved pathway from the parking area to the entrance of the club for wheelchairs.
For families that require special assistance with parking, or have additional parking needs please speak to Kerryn at KIIND prior to the day and KIIND will assist with directions where possible.
What do skippers need to do prior to the event?
Please ensure your vessel is refuelled prior to the day, the fuel jetty may be unavailable. Please check your vessel is operating smoothly and all safety equipment on board has been checked. If your vessel is located on the hardstand you will need to arrive early, there may be a queue at the boat ramp and you need to have your vessel located at its allocated jetty prior to the skippers briefing. Some Skippers or crew wish to bring snacks on-board for their guests, so may wish to organise these however this is not a requirement. We will advise you prior to the event if any families have notified us of any allergies as requested, however please check with parent/guardian before offering snacks.
What should skippers do if they can't attend on the day due to illness, or if they have have mechanical issues with my vessel?
Please notify organisers as soon as possible, we will provide you a contact mobile phone number if you have issues on the day. We will have a boat on standby to take on any passengers so that they won't miss out, and we can also reallocate some passengers to any larger boats that may still have capacity.
What will I skippers need to consider regarding the child's illness or allergies? What do we do if there is a medical emergency?
We will have a qualified Doctor on standby at the club for the event. SoPYC will also provide a safety boat which will follow the fleet to assist in the unlikely event of an incident. Our Safety procedures for the day will be advised to skippers at the Skipper's briefing. All Skippers will have a VHF radio tuned to channel 69, and radios will be held by the safety team and the organisers. All of the children will be accompanied by a parent or carer who understands the child's illness and any allergies. The Skipper will be advised of any known allergies prior to the event to help avoid any issues.
Will the children be supervised?
All children will be accompanied by at least one parent or a carer. All Skippers must have at least one additional crewmember. Ultimately as with any boating event Skippers are responsible for any passengers onboard their vessel, however we did not have any incidents in 2025. The children will be excited to be onboard the vessel and may want to stray into every nook and cranny, we advise skippers to set the ground rules prior to departure to avoid any unnecessary nuisance or damage.
How will skippers identify the families who will be guests on their boat?
We will place signs with the boat and skipper name around the walls of the ballroom. Please ensure the Skipper or a crewmember is waiting at the sign at the time directed in the briefing. The families will be given a card with your boat and Skipper name, and will be asked to proceed to the ballroom and wait under your sign.
What if allocated passengers dont turn up for a boat?
This is always a possibility with sick children, and late changes and no-shows on the day are to be expected. If your allocated passengers don't turn up we will attempt to swap a family from a larger boat that may have been allocated several families, to ensure your efforts and time have not been wasted.
Will there be enough lifejackets available?
The organisers will have a number of spare lifejackets, available in most sizes, that skippers will be able to borrow for their passengers for the event. The lifejackets will be labelled and will be signed out and back in by Volunteers.
Are there disabled Toilet Facilities Available?
Yes there are two sets of disabled toilets, the newer ones are located at the junior clubhouse marked on the left side of the map below, there are also disabled toilets accessable from doors from the inside and outside of the main club rooms, please ask any volunteer or member if you need assistance finding them
